Legal Administrator
Dublin 4 Firm
Responsibilities include:
• Providing a high level of administration and support to Fee Earners, Operations Manager and Reception.
• Audio typing, formatting and editing documents and correspondence.
• Preparing and scheduling of court bundles, legal briefs, legal reports and documents.
• Drafting letters including demand letters and following up with third parties re same.
• Billing administration. Generating invoices and credit notes for fee earners. Producing time reports. Verifying bank account details and requesting bank transfers in line with procedures.
• Post administration
• Printing and Scanning.
• Document and Email management including use of integrated applications for central system management, file sharing/receiving and PDF editing.
• Ongoing File management including opening and archiving of files (electronic and paper based).
• Providing regular reception cover including meeting room diary management, catering management, boardroom and AV set up duties.
• Meeting and greeting clients, guests, and visitors.
• Ensuring all day-to-day office and reception procedures and practices are adhered to.
• Booking couriers and taxis.
• Updating content management side of firm website.
• Liaising with OM regularly to create a solution focused, engaging and supportive work environment.
• Adhoc duties as and when required.
Skills and Experience:
• At least one year's experience in legal industry.
• Excellent interpersonal and listening skills.
• Excellent attention to detail.
• A proactive and professional attitude with strong communications skills is essential.
• Skilled in Microsoft Outlook, Word and Excel.
• Dictation/Transcription experience. Minimum of 55 WPM
• Strong IT and system skills
• Keyhouse experience or similar document management/case management experience would be an advantage.
• Good numerical skills.
• Enthusiastic, motivated with a ‘can do’ attitude.
• Capable of working on their own initiative but with a team orientated mindset.
• Ability to adapt to new processes and procedures in a progressive environment.
