Profile

Hereby a shortlist of the items required by reception position.

  • Welcoming clients and visitors upon arrival at reception.
  • Collecting post in the morning from the Post Office, open, date stamp and distribute.
  • Answering, screening and forwarding phone calls in a professional and timely manner, also noting that the client does get responses back if numerous messages are left and then use discretion and to escalate if the calls are not attended to.
  • Scheduling and confirming appointments.
  • Processing card payments or cash and issuing receipts in receipt book.
  • Posting phone logs on Keyhouse for each call that comes in and updated customer dashboard.
  • Processing invoices for the office and sending out supplier remittances.
  • Overserving business etiquette and maintaining a professional appearance.
  • Directing the flow of mail, faxes and deliveries to reach all Solicitors.
  • Ordering and replenishing office supplies.
  • Managing the maintenance and repair of the office equipment.
  • Preparing meeting facilities and arranging refreshment if required.
  • Assisting with client queries, wills or titled deed enquiries and redirect to solicitors or support staff.
  • Prepare evening post to go out with DX post and registered post.
  • CPD, email solicitors’ courses, book when interested and arrange payment with Accounts Manager if needed.
